Property Zone Ireland ("Property Zone", "we", "us" or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal data when you use propertyzone.ie and related services, including the launch subscriber list (pre-launch waiting list), property search, property listings, account tools, saved searches, shortlists, affordability tools, viewing requests, agent workspaces, reporting and support forms.
We process personal data in line with the General Data Protection Regulation (Regulation (EU) 2016/679, the "GDPR"), the Irish Data Protection Act 2018 and the European Communities (Electronic Communications Networks and Services) (Privacy and Electronic Communications) Regulations 2011 (as amended) ("Irish ePrivacy Regulations").
1. Who Is Responsible for Your Data
For the purposes of the GDPR, Property Zone is the controller of personal data processed through the website, except where this policy or a separate notice explains that another party is the controller (for example, listing agents who use the platform to manage their own enquiries and leads).

We are not currently required to appoint a Data Protection Officer under Article 37 GDPR; if that changes, we will update this policy with the DPO's contact details.
2. Personal Data We Collect
Depending on how you use the site, we may collect the following categories of personal data:
- Launch subscriber list (pre-launch waiting list): email address, the role you select (buyer/renter or agent/agency), an optional county of interest, a confirmation token and timestamps showing when you signed up and confirmed your email. We use this only to confirm your subscription and to notify you when Property Zone launches.
- Account details: email address, username, password hash, first name, phone number, WhatsApp number, account type, account status, email verification state, registration date and profile updates.
- Agent and agency profile details: agency name, branch name, website, address, licence number, profile description, social links, verification status and related agency-management data.
- Listing data: property details, descriptions, photos, floor plans, video links, location details, price, listing status, package selections, payment plan information and related listing history.
- Buyer enquiry data: name, email address, phone number, message content, the property you enquired about, timestamps and any campaign attribution linked to the enquiry.
- Viewing request data: lead name, email, phone number, proposed viewing slots, confirmed slot, notes, status, attendance outcome and related follow-up records.
- Saved search and alert data: search name, search filters, category, alert frequency, email alert preference, quiet hours and notification timestamps.
- Shortlist and collaboration data: shortlist names, properties added, ratings, workflow stages, comments, public share token state, activity history, agent-curated shortlist details and invited buyer email addresses.
- Affordability profile data: optional gross annual income, savings/deposit amount, monthly fixed costs and preferred maximum housing-cost share. These values are used to show affordability labels to you and can be cleared from the profile page.
- Commute and location preference data: saved points of interest, names, addresses, latitude and longitude used to estimate commute context.
- Trust, safety and support data: contact form messages, trust and safety reports, listing reports, listing URLs, reasons, notes and optional contact email or phone number.
- Partner referral data: if partner referral features are active and you submit a partner form, we may process your name, email, phone number, notes, the selected partner and the listing context.
- Payment and wallet records: wallet balance, transaction ledger entries, listing charges, payment intent identifiers and payment-related timestamps. Full card data is handled by payment service providers and should not be stored by us.
- Usage, device and security data: IP address or IP hash, session identifiers, referrer, pages viewed, search queries, clicked listings, favourites, funnel events, browser/device information, timestamps, error logs and security audit signals.
- Cookie and local storage data: data described in our Cookie Policy, including session cookies, CSRF cookies, feature flag cookies, localStorage and sessionStorage used for product features.
3. How We Collect Data
We collect personal data when:
- you join the launch subscriber list (pre-launch waiting list) by submitting your email address and confirming it through the double opt-in link we send you;
- you create or update an account;
- you create, edit, publish, pay for or manage a property listing;
- you contact an agent, request a viewing, save a search, add favourites or use shortlists;
- you use affordability, commute, comparison, market intelligence or other buyer tools;
- you submit a contact, trust and safety, listing report or partner referral form;
- you browse the site and our systems create logs, session data, security records or analytics events;
- an agent creates a curated shortlist for an existing or prospective buyer using an email address; and
- third-party service providers process data for hosting, email, payment, maps, media, analytics or security purposes.
4. Why We Use Your Data and Our Legal Bases
We only process personal data where we have a lawful basis under Article 6 GDPR. The main purposes and legal bases are:

5. Public Listings and Shared Workspaces
Some information is intended to be public or visible to selected users:
- Property listings, photos, descriptions, prices, locations and selected contact options may be public while a listing is active.
- Agent and agency profile information may be visible to users and may be used in agency leaderboard or verification features.
- Shortlists may be private, shared through a token link, or curated by an agent. Comments, ratings, workflow stages and activity may be visible to the shortlist owner, collaborators and relevant agent/client workspace participants.
- Viewing and lead dashboards may show relevant enquiry and response data to the listing owner, assigned agent or agency account.
6. Affordability, Buyer Fit and Automated Assistance
If you save an affordability profile, we use the figures you provide to estimate whether listings appear in budget, a stretch or out of budget. This is an informational tool only. It is not financial advice, mortgage approval, a credit decision or a guarantee that you can buy or rent a property.
We may also use rules-based labels, market signals, commute context, BER/heating insights, freshness indicators, response-time indicators and similar product logic to help users understand listings. We do not intend these tools to make decisions with legal or similarly significant effects about you without human involvement.
7. Cookies, Analytics and Similar Technologies
We use cookies and similar technologies for login, security (including CSRF protection), session management, preferences, feature flags, local browser functionality, analytics and embedded content. Non-essential cookies and tracking technologies are only set after you give consent in line with the Irish ePrivacy Regulations.
Visitors located in the European Economic Area, the United Kingdom or Switzerland see a consent banner on first visit. Until you make a choice, Google Consent Mode v2 keeps advertising and analytics storage in a denied state so that no analytics or advertising cookies are written. Your choice is stored in a first-party cookie named pz_consent for up to 180 days, so the banner does not reappear on every page. You can change or withdraw your choice at any time by clearing this cookie in your browser or by using the controls on our Cookies Policy page.

8. Who We Share Data With
We do not sell your personal data. We may share personal data with:
- Agents, agencies, sellers, landlords or buyers: where needed to handle enquiries, viewings, listing management, shortlists or workspace collaboration.
- Payment providers: to process payments, wallet top-ups, refunds and payment records.
- Email, notification and communications providers: to send account emails, alerts, lead notifications and support replies.
- Hosting, infrastructure, database, storage, monitoring and security providers: to operate and protect the platform.
- Analytics, maps, media and product providers: where such integrations are enabled and lawful.
- Partner service providers: where you choose to submit a partner referral or request contact from a partner.
- Professional advisers and authorities: where needed for legal advice, compliance, fraud prevention, dispute resolution, law enforcement or regulatory requests.
- Business transfer parties: if we are involved in a merger, acquisition, financing, restructuring or sale of business assets, subject to appropriate safeguards.
9. International Transfers
Some service providers may process personal data outside Ireland or the European Economic Area. Where this happens, we aim to use appropriate safeguards such as European Commission adequacy decisions, Standard Contractual Clauses, the EU-US Data Privacy Framework where applicable, or other lawful transfer mechanisms.
10. How Long We Keep Data
We keep personal data only for as long as needed for the purposes described in this policy, unless a longer period is required for legal, accounting, tax, fraud prevention, dispute resolution or platform-security reasons. Typical retention considerations include:
- Launch subscriber list data (pre-launch waiting list): kept while you remain subscribed. We delete or anonymise waiting-list records within a reasonable period after launch (typically up to 12 months) and at the latest when you withdraw consent or unsubscribe.
- Account data: while your account is active and for a reasonable period afterwards for security, legal and audit purposes.
- Listings and related media: while active and for a reasonable archive period after expiry, deletion or moderation, especially where needed for billing, reporting, fraud prevention or disputes.
- Enquiries, viewings and lead records: for as long as needed to manage the enquiry, support agent accountability, resolve disputes and maintain service records.
- Saved searches, shortlists, affordability profiles and commute points: while you keep them active, until you delete or clear them, or until your account is deleted subject to legal limits.
- Payment and wallet records: for the period required for accounting, tax, chargeback, audit and legal obligations.
- Support, trust and safety reports: for as long as needed to investigate, respond, prevent abuse and maintain evidence of actions taken.
- Logs and analytics: for a limited period appropriate to security, debugging, performance and aggregate analysis.
When personal data is no longer needed, we delete it, anonymise it or restrict access to it as appropriate.
11. How We Protect Data
We use technical and organisational measures designed to protect personal data, including access controls, HTTPS in production, secure cookie settings, CSRF protection, security headers, monitoring, backups and role-based access for administrative tools. No online service can guarantee absolute security, but we work to reduce risk and respond to suspected issues.
12. Your Data Protection Rights
Subject to conditions and exceptions under GDPR and Irish law, you may have the right to:
- be informed about how your personal data is used;
- access a copy of your personal data;
- correct inaccurate or incomplete personal data;
- request deletion of personal data;
- restrict processing of personal data;
- object to processing based on legitimate interests and to direct marketing;
- receive certain data in a portable format;
- withdraw consent where processing is based on consent; and
- not be subject to solely automated decisions with legal or similarly significant effects, where that right applies.
We may need to verify your identity before acting on a request. We will respond without undue delay and in any event within one month of receiving the request, in line with Article 12(3) GDPR. Where a request is particularly complex or where we receive a number of requests from you, we may extend this period by up to two further months and will let you know within the first month if we need to do so. Exercising these rights is free of charge in normal circumstances.
13. Marketing and Alerts
Saved-search alerts, viewing notifications, lead notices, account security messages and listing-management messages are service communications. Direct electronic marketing is handled separately and must comply with Irish ePrivacy rules. Where you receive marketing from us, you can opt out or object to direct marketing at any time.
14. Children's Data
Property Zone is intended for adults looking for property, listing property or providing property-related services. We do not knowingly target children or knowingly collect children's personal data through the platform.
